Information for the 21st HFSP Awardees Meeting

Meeting Venue

Institut Pasteur, Paris, France
Access: 205 rue de Vaugirard – Metro stops : Volontaires (line 12) or Pasteur (lines 6 & 12) - 5-minutes’ walk.

At the reception desk, participants should present their HFSP meeting badge (this will be provided on the first day) and passport or another valid identity document to access the conference centre. Please note that a badge is required to access the conference centre. Bags and luggage will also be checked. Participants are advised to arrive well in advance of the scientific sessions to avoid queueing. The conference centre will open at 8 am. 

Registration and Information Desk 

Participants can collect their meeting badge from the HFSP stand at the Novotel Paris Vaugirard Montparnasse from 17:30 onwards on Sunday afternoon. 

Badges can also be picked up from the reception at Institut Pasteur on Monday to Thursday.

An information desk is situated in the foyer on the lower ground floor of the conference centre. Printed programmes and other meeting material can be collected at the desk. 

Luggage Storage

Participants can leave their luggage in the cloakroom situated on the lower ground floor during the meeting.

Plenary Lectures and Oral Sessions

This is HFSP’s first hybrid meeting that will enable streaming and recording of all sessions. A special events platform will be used to display virtual posters and broadcast presentations by remote participants, as well as streaming the live talks from the auditorium. This requires that the presentations are run through the control room of the Pasteur auditorium. Therefore, we strongly recommend that all speakers present themselves at the technicians’ control room on the ground floor at least 20 minutes before their presentation in order to load their slides onto a PC or MAC. The presentations will be launched by the technician and presenters will be provided with a remote control and pointer to control their slides. PowerPoint presentations should be made in 16:9 screen format. Note that there are no electrical sockets in the auditorium but there are a limited number available in the cloakroom and exhibition space. Participants are advised to recharge their computers before coming to the meeting.

Poster Sessions

The poster sessions will take place in the exhibition space outside the auditorium on the lower ground floor. The poster boards are 70  x 100 cm (width x height). Participants should refer to the poster listing in the meeting programme for the number and day of their presentation. Posters should be mounted on the stand corresponding to the number in the programme on the first morning of the meeting and removed following the last onsite poster session on Wednesday. A printing service is not available at the conference venue. We strongly advise presenters to bring their poster with them to Paris as options to print locally are limited.

WIFI

A free WIFI service is available at the venue. The network name and password will be provided during the meeting.

Photography

Many awardees show unpublished data. Therefore, HFSP reminds participants to not take photographs of slides with data during oral presentations or of posters without permission from the authors.

Social Media

We encourage participants to post content about the meeting on social media. Please consider using the tag #HFSPmtg in tweets. However, since awardees often show unpublished data, do not broadcast results without permission from the authors.
